1. Who this notice applies to
This Privacy Notice applies to visitors to the Domplatta presentation website, people who submit a contact or quote request, business contacts, prospective customers and representatives of organizations that communicate with us.
Domplatta is the product and website name used by the website operator. The contracting legal entity for paid services is identified in the proposal, order form, invoice or service agreement issued for the relevant engagement.
2. Information we collect
When you use the contact form, we may collect your name, company or organization, email address, telephone number, event type, expected number of guests, intended event date and the information you include in your message.
The form also sends the source page and may record the requesting IP address for delivery context, abuse prevention and troubleshooting. A short-lived rate-limit record is generated from a one-way hash of the IP address and browser user-agent to reduce automated submissions.
Our hosting provider may create standard server logs containing IP address, date and time, requested resource, browser information, response status and security events.
3. How we use the information
- To respond to your enquiry and prepare a demonstration, scope or quotation.
- To understand the event workflow, expected scale, timing, hardware and integration needs.
- To maintain commercial correspondence and records of agreed actions.
- To protect the website, prevent spam, investigate errors and maintain service security.
- To comply with accounting, tax, legal and dispute-management obligations where a commercial relationship is established.
The contact-form checkbox confirms that you expect a response to the request you submit. It is not permission for unrelated bulk marketing. We will request separate permission where optional marketing consent is required.
4. Legal bases
We generally process enquiry data because it is necessary to take steps at your request before entering into a contract and because we have a legitimate interest in responding to business enquiries, protecting the website and keeping proportionate commercial records.
Where processing is required by law, we rely on the applicable legal obligation. Where we ask for consent for a genuinely optional activity, you may withdraw that consent at any time without affecting processing that occurred before withdrawal.
5. Recipients and service providers
Information may be available to authorized Domplatta personnel and to service providers supporting hosting, email delivery, website security, backups and professional advice. Contact-form messages are delivered to the configured recipient mailbox through the selected email or SMTP provider.
We do not sell contact-form data. We do not disclose it to exhibitors, sponsors or other event participants unless you request that involvement or the disclosure is necessary for a contracted event workflow and is covered by the applicable event notice.
6. Retention
Unsuccessful or exploratory enquiries are normally retained only for as long as needed to respond, follow up and maintain a reasonable record of the discussion. Where a commercial relationship begins, relevant correspondence may be retained with contractual and accounting records for the periods required by law and legitimate business needs.
Temporary form rate-limit records expire automatically under the server configuration; the default window is ten minutes. Hosting and email providers may retain technical logs under their own security and backup schedules.
7. Your rights
Subject to the conditions in applicable law, you may request access to your personal data, correction of inaccurate data, deletion, restriction, portability or objection to processing based on legitimate interests. You may withdraw consent where consent is the applicable legal basis.
To submit a request, use the Contact panel and clearly identify the privacy request. We may need to verify your identity before acting on a request.
You may lodge a complaint with your local supervisory authority. In Romania, complaints may be directed to ANSPDCP.
8. Security and international processing
We use proportionate administrative and technical safeguards for website enquiries, including form validation, a honeypot field, rate limiting and restricted delivery configuration. No internet transmission or storage system can be guaranteed to be completely secure.
If a service provider processes information outside the European Economic Area, we will use an available legal transfer mechanism where required and review the provider’s contractual and security safeguards.
9. Changes to this notice
We may update this notice when the website, service providers, analytics configuration or legal requirements change. The current version and update date will remain available on this page.
